Privacy Policy

BOOKASAN (SMC-PRIVATE) LIMITED, Islamabad, Pakistan, decides how your personal data is used on Bookasan. Contact us at contact-us@bookasan.com about anything in this policy.

• Your account: name, email address, password (kept only in scrambled form, never readable by us), your phone number (needed to book, so the venue can reach you), and optionally your date of birth, city and a profile photo.
• Your bookings: which venues, dates and times you booked, what you paid, your points balance and history, refund requests and the messages inside them.
• Your messages: help requests and replies to us, your chats with Doodle (our help assistant) and its answers, messages you post in a tournament's group chat, and any files you attach.
• People you add: if you enter a team in a tournament, the names and phone numbers of the teammates you put on the roster. Only add people who are happy for you to share them.
• Things you choose to do: favourite venues, reviews, tournament entries and your marketing preference.
• Technical data: your IP address, browser and device type, and the pages and requests made, with the time. We use it to keep the service secure and fix faults.
• Location: only if you allow your browser to share it, or you pick a city. Your coordinates are sent to our servers to sort venues by distance (we do not record them in our logs) and to OpenStreetMap's place-name service to show the name of your area. Your last location is also remembered on your device.

• To create and secure your account, and verify your email.
• To link bookings to your account. A booking appears in your account, and its refunds reach your wallet, when it carries your verified email address. That includes a booking a venue records for you at its counter using that email. A phone number alone never links a booking to you, because phone numbers are not verified.
• To make, confirm, change and cancel bookings, take payments and give refunds.
• To show you venues near you and remember your favourites.
• To send you booking confirmations, refund notices, security codes and other messages about your account. You cannot switch these off, because they are your record of your own bookings and money.
• To help you when you contact us, including answering your questions in Doodle.
• To prevent fraud, abuse and misuse of refunds or points.
• To improve Bookasan, and to meet our legal and accounting obligations.
• To send you news and offers, only if you have not opted out. Every such email has an unsubscribe option, and you can change it in your account.

• The venue you book: your name, contact details and booking details, so they can run your session and contact you about it, plus anything you post in a tournament's group chat. If you ask for a refund, the venue sees the reason you chose and what Bookasan tells it; it does not read what you write in the request. A venue keeps its own record of your bookings, even after you delete your Bookasan account.
• The venue running a tournament you enter: your entry, and your team's roster if you enter as a team.
• Our payment provider (currently Swich, which processes payments through PayFast): your name, email address and phone number with each payment, to take it.
• Our AI service provider (currently Groq), when you ask Doodle a question: only what is listed under "Doodle, our help assistant" below.
• Companies that help us run the service, such as email delivery and hosting, and only what they need to do that job.
• Public authorities, courts or regulators, where the law requires it.
• Other players and the public: your name may show in a tournament bracket you enter, and reviews you post appear on the venue's page.

We do not sell your personal data.

You must be signed in to use Doodle. To write an answer, Doodle sends the following to an outside AI service provider (currently Groq, which may handle it outside Pakistan):

• what you type in the chat, and the last few messages before it;
• short extracts from our own help articles that match your question;
• if you opened Doodle from a booking, a tournament entry or a refund request: the booking number, venue, date, time and status, or the tournament's name, or the refund request number and status.

Doodle does not send your name, email address, phone number or payment details. It can only send them if you type them yourself, so never type a card number or a password into the chat. We use the provider only to write answers to you.

Doodle's answers are automatic and can be wrong, and Doodle cannot change a booking, a refund or your account. You can ask for a person at any time. If you do, or if Doodle cannot help, we open a support request and our team can read the chat, so you do not have to repeat yourself. Your chats are saved with your account. Venues never see your chats with Doodle or with us.

Bookasan uses your browser's local storage to keep you signed in and to remember your location and preferences. We do not use advertising or tracking cookies, and we do not use third-party analytics at the moment. If that changes, we will update this policy first.

• Your account details: for as long as your account is open.
• Booking, payment and points records: for as long as the law and our accounting require, even after your account is closed.
• Technical request logs, which include your account email and IP address: about 90 days.
• Records of important account events, such as a refund decision, which include your email address: kept indefinitely as a security and accountability record.
• Bookings a venue holds: the venue keeps its own record of your bookings, even after your Bookasan account is deleted.

We protect your data with encrypted connections (HTTPS), scrambled password storage and access controls. No system is completely secure, so please use a strong password and keep it private. If you think your account has been accessed, tell us straight away.

• See or correct the details on your account, from the account screen or by writing to us.
• Stop marketing emails, from your account or the link in any email.
• Turn off location sharing in your browser at any time.
• Ask us to delete your account and personal data. We will do it, but we must keep some records, such as payment records, for legal reasons. Spend any points balance first, because it cannot be paid out.

To use any of these, email contact-us@bookasan.com. We may ask you to confirm who you are before we act.

Bookasan is for everyone who plays sport. If you are under 18, a parent or guardian should supervise your account. We do not knowingly ask children for more than we need. A parent or guardian can ask us to see or delete a child's data.

Our servers and some of our service providers may be outside Pakistan. Wherever your data is handled, we keep it to the purposes in this policy and expect the same care from the companies we work with.

We may update this policy. The date at the top shows when it last changed, and we will tell you about important changes by email or in the app.
